Adding a Sub-Consultant to your On-Call Team

To add subconsultants to your On-Call Team, please submit a written "request for approval", including the appropriate rate and overhead documentation, and subconsultant questionaire, to the Consultant Services Office for approval. Requests should be made as soon as a firm is determined to be needed as a sub on a particular Task. Once a firm is approved for a Task Order, they are approved for any future Task Orders on that On-Call Agreement where they may be needed. Documentation needed:

Firms that have an overhead:

• A current Actuals Not to Exceed Table for your proposed sub-consultants;
• Your proposed sub-consultants most current fiscal year overhead schedule as follows the "Audit Guide for Consultants" Chapter 6; and
• A completed Submittal Information Form for sub-consultants.

Firms that do not have an overhead (usually, small firms that operate out of their home, etc.):

• A current Hourly Rate Statement letter; and
• A completed Submittal Information Form for sub-consultants.

WSDOT requests that the documentation be provided electronically in the following format:

• The Actuals Not to Exceed Table/Hourly Rate Statement letter be separate electronic files for each proposed sub-consultant; and
• Do not include the overhead schedule or Submittal Information Form in the same file as the Actuals Not to Exceed Table/Hourly Rate Statement letter, send them as separate electronic files.

You may submit your request to add a sub-consultant to your team electronically by sending it to SubConsultants@wsdot.wa.gov. If you do not have the ability to send the documents electronically, please submit a hard copy request to:
