Description: |
The WSDOT Lessons Learned System is focused on gathering, organizing, and using the Lessons Learned from past and current WSDOT projects to continually improve WSDOT methods and project delivery. Lessons Learned are reported and used continuously throughout the project, culminating in a final submittal of project Lessons Learned during the Transition and Closure stage. Documentation of the methods to be used to capture and share Lessons Learned should be developed and maintained in the Project Management Plan. The Lessons Learned Plan should reflect a
continuous sharing and learning process. |

Steps: |
1. During the Initiate and Align the Team and Plan the Work stages, review the Lessons Learned documents from other projects and use them in the development of planning for the project. Past Lessons Learned can be obtained from WSDOT’s Lessons Learned System; online at other WSDOT web sites; and from professional organizations and publications. |

2. Planning for capturing and documenting project Lessons Learned occurs during the Plan the Work step. Responsibilities for managing and using the process should be documented under the Roles and Responsibilities section of the Project Management Plan (described in the Activity Guide: Plan the Work – Develop Transition and Closure Plan). |

3. During the project or phase, the reporting of Lessons Learned should be a continuous sharing process and should be a standing agenda item in team meetings and workshops. |

4. At the completion of the phase or project, a formal meeting or workshop should be held to review the Lessons Learned and the assignment of actions for improvement and communication of best management practices. |

Guidelines: |
Lessons Learned is a continuous improvement process that occurs during each step of every project. The process to document Lessons Learned is developed during the Plan the Work step; implemented during the Work the Plan step; and completed at the close of the project or phase. It is suggested that activities associated with capturing and documenting Lessons Learned be placed in the Project Baseline Schedule so they can be tracked and their status can be monitored. |
